Ascenova Studios ("we," "us") runs ascenovastudios.com, the Ascenova newsletter, and related Instagram and social channels. This policy explains what personal information we collect, why, and what you can do about it. We're based in Vancouver, British Columbia, Canada.

1. What we collect
When you subscribe to the newsletter
- Your name and email address
- Your subscription status and history (start date, trial, renewals, cancellations)
- Payment details, which are handled by Stripe. We never see or store your full card number.
When you submit music
- Your name and email address
- Your artist or band name
- Your track link, genre, and Instagram handle
- Anything you write in the message field
When you join the waitlist
- Your first name, email address, whether you're a fan, an artist, or both, and a scrambled (hashed) connection fingerprint used only to prevent spam. We never store your IP address.
When you visit the website
- Basic, anonymous usage data through Cloudflare Web Analytics: pages viewed, the site you came from, country, and device type. It doesn't use cookies and doesn't identify you personally.
When you email us
- Your email address and whatever you include in your message.
2. Why we use it
- To deliver the newsletter and manage your subscription and billing
- To review music submissions, contact artists, and feature selected artists
- If you join the waitlist, to email you about the launch and founding membership, and to import you into our newsletter platform at launch if you choose to join. Unsubscribe anytime.
- To reply to your messages
- To understand, in aggregate, how people use the site so we can improve it
- To prevent spam and abuse (for example, limiting how often the form can be used)
- To meet legal, tax, and accounting obligations
We don't sell your personal information, and we don't share it with advertisers. When a sponsor appears in the newsletter, they don't receive any subscriber data.
3. Submissions are meant to be public
If your music is featured, we may share your name, track link, artwork, and Instagram handle publicly to feature or promote you in the newsletter, on the website, and on our Instagram and other social channels. We never publish your submission message unless you agree. We never publish your email address.
4. Who helps us run things
We use trusted service providers that process data on our behalf, only to provide their service:

Some of these providers store data outside Canada, including in the United States, where it may be subject to local laws.
We may also share information if required by law, or to protect our rights or the safety of others.
5. Cookies
The website itself doesn't use tracking or advertising cookies. Our analytics are cookieless. The newsletter platform (Ghost) uses essential cookies to keep you signed in to your account; these are needed for the service to work.
6. How long we keep it
- Music submissions: up to 2 years, or sooner if you ask us to delete them.
- Subscriber information: while you're subscribed, and afterward only as long as needed for billing records, tax, and legal requirements.
- Emails: as long as needed to respond and keep a reasonable record.
- Waitlist data is kept until you unsubscribe, or for up to 12 months after launch, whichever comes first.
7. Your rights
You can ask us to:
- See the personal information we hold about you
- Correct it
- Delete it
- Stop using it for a particular purpose (for example, unsubscribing)
Email hello@ascenovastudios.com and we'll respond within 30 days. Depending on where you live (for example the EU, UK, or California), you may have additional rights under local law, and we'll honour them. Every email we send includes a way to unsubscribe.
8. Age
You must be at least 13 to use our services. We don't knowingly collect information from anyone under 13. If you believe a child under 13 has given us information, contact us and we'll delete it.
9. Security
We use reputable providers and reasonable safeguards to protect your information. No system is perfectly secure, so we can't guarantee absolute security.
10. Changes
If we update this policy, we'll change the effective date above. For significant changes, we'll let subscribers know by email.
